The Hotel am Wartturm, located in the picturesque town of Speyer in Germany, is a family-run boutique hotel full of charm and heart. Owners Christian and Michaela Heck, together with their six-person team, provide a homely atmosphere and personalized service to every guest. With 17 rooms and 7 serviced apartments, the hotel is a popular choice for both business travelers and city explorers. Since 2013, the hotel has enthusiastically integrated hotelkit into all its daily workflows.

Retaining knowledge, empowering staff

In owner-operated hotels like the Wartturm, most operational knowledge often resides with the owners themselves. This means they must constantly be available to make decisions and share information. Christian Heck wanted to change that. His goal was to document all essential knowledge in the hotel so that team members could work more independently and make well-informed decisions. Additionally, he wanted to improve internal communication and streamline task management across all areas of the business. 

Solution

A central knowledge platform accessible to all

Christian Heck came across hotelkit through a research paper on digitalization in owner-run hotels. Though initially unsure if the platform would suit such a small team, they launched a test phase. It quickly became clear: hotelkit was the perfect fit. The platform enabled a full mapping of hotel processes – from digital handbooks to task management, checklists, and internal news. Especially the handbook, which continues to grow and contains all the essential knowledge for daily operations, became an indispensable tool. Today, hotelkit supports the team with structured communication, planning, and knowledge sharing.

Since implementing hotelkit, the working environment at Hotel am Wartturm has improved significantly. Staff work much more independently, essential knowledge is always accessible, and processes are now well structured. The growing handbook, recurring checklists, and seamless shift handovers ensure that team members stay well-informed – even after time off. Meetings, events, and tasks are clearly scheduled and transparently documented. The Heck family can now travel with peace of mind, knowing the hotel runs smoothly even in their absence.
