Challenge

Communication with 80 department heads

The team led by Michaela Bailer, Area Director of People Operations at Radisson Hotel Group, is in charge of General Human Resources and assists in Recruiting as well as in Learning and Development for all hotels in the DACH region. The Area HR team is in constant exchange with the department heads of the individual hotels. The challenge lies in distributing information to about 80 department heads. The HR team, consisting of around 15 members, found it challenging to keep email distribution lists updated and to regularly communicate the latest process developments to all stakeholders.

Instead of solely depending on emails, the team now uses hotelkit as their primary communication tool. Predefined groups in hotelkit make it easy to send relevant information to the right recipients in the DACH region. Additionally, the hotelkit handbook serves as a central hub for process guidelines. 

Results

Simplified communication across all levels 

The hotelkit handbook is the primary digital resource for all department heads in the area concerning HR matters. The handbook is continually updated. As a result, many questions are quickly resolved, eliminating the need for department heads to contact HR. This saves both parties a lot of time and work. 

Process guidelines and information on training materials for employees, staff appraisals, or terminations are available in the hotelkit handbook. Department heads can find out when and where training and workshops for employees, department heads, and general managers are offered. It also contains templates for employee surveys as well as current information on employee benefits. To make the content easily understandable, visual aids like images and video materials can be added to the handbook articles. 

Moreover, hotelkit checklists are utilized. Headquarters provides the department heads with templates, such as a pre-onboarding checklist, onboarding checklist, and offboarding checklist. These templates clearly outline what actions must be taken before a new employee’s arrival, what needs to be done on their first day, during the first 90 days, and so on.
