Inside the hotelkit world: 2025 – a year in review

2025 wasn’t a year of big words – it was a year of small, genuine stories. 

Stories from hotels where hotelkit has long been part of everyday life. 
From more than 4,000 properties and over 180,000 users who laugh, tinker, improvise – and prove that good communication makes everything easier. 

It was also a year of remarkable community growth. hotelkit is now used in 93 countries worldwide, and in 2025, we expanded into new markets such as the USA, Sri Lanka and Iraq. 

We were proud to welcome many fantastic new businesses into the hotelkit family – big and small. Including renowned hotel groups like the Chocolate on the Pillow Group, Louvre Hotels, Room00, as well as individual hotels like The Grove London, Hotel des Balances, Cape of Senses, and Grand Hotel Kitzbühel. A community that keeps growing – and where every single story matters. 

Between new tools, inspiring feedback, and loads of humor, 2025 was anything but boring. 
Instead of focusing on numbers and buzzwords, this year we’re sharing what truly drives us: real stories from the hotelkit community. Stories that show that digitalization works best when it comes alive in everyday routines – and that the human side not only remains, but becomes even stronger.

Ok, but first coffee hotelkit

Well, if that isn’t a motto for 2026! Honestly? We’re honored to come before the first caffeine boost of the day. One hotel definitely got its priorities right and made us smile with a homemade meme:

A sense of humor included

It all started with a completely harmless message from a manager to her team, and all ended up becoming one of our favourite moments of the year:

Hello everyone, wishing you a great start with hotelkit. If you have any questions, please do NOT contact me!

Our hotelkit support team loves to jump in wherever they can – making life easier for admins (at least when it comes to hotelkit!).

Roberta, the runaway

How useful good communication can be sometimes becomes clear in the most unexpected ways:

“Our vacuum robot ROBERTA has been missing for several days!! Has anyone seen her? Did she get lost somewhere?

A short time later, the mystery was solved – Roberta had been hiding in storage. 
A few dust bunnies later, she was back in action – and everyone was relieved. 

This is what good communication via hotelkit looks like: quick, uncomplicated, and with a happy ending.

Housekeeper in high spirits

After a hotelkit Housekeeping training session, we received this message:

Thanks again for the great training, my head housekeeper is literally jumping for joy!

Training is more than product demos for us – they’re moments when new software turns into real teamwork. Our support team tailors every session to each customer’s needs, helping them get the most out of hotelkit. Here’s to even more happy faces in future trainings!

When features are so good that even authorities are impressed, we know things are going well:

That’s what quality management sounds like when it’s actually fun – and proves that small innovations often make the biggest difference.

Customer inquiry of the year

Our support team really gives everything – but sometimes the challenges are simply.. um.. out of our control. As always, our support team asks customers to briefly describe the issue and this time, the reply was:

I need help, I’m stuck in the hotel elevator.

(And no – it wasn’t the first time.)
For 2026, we wish for more calm customers like this one – and fully functioning elevators everywhere.

New feature highlights 2025 at a glance

Of course, 2025 wasn’t just about laughs – it was also a year of development and improvement.
Here are the highlights that made your daily work even smoother:

  • Facility Management Tool – the perfect addition to Collaboration:
    All asset data is now stored in one central place, and preventive maintenance tasks are automated with ease. Less admin work and less downtime – what more could you ask for? Read more!
  • Google Translate Integration – language barriers? A thing of the past.
    The new integration lets you communicate directly in hotelkit in more than 110 languages.
  • Browser push notifications – always up to date.
    Even when hotelkit isn’t open, you won’t miss a task or a message thanks to browser push notifications.
  • Active article read confirmation – always verified and up to date.
    You can now require active reading confirmation from your article recipients – perfect for internal processes and audits.
  • Escalation for technical tasks – nothing falls through the cracks.
    Maintenance tasks now come with escalation levels: if a planned preventive maintenance task isn’t completed in time, the system automatically reminds and escalates it as configured.
  • New routing rules for repairs, guest requests & complaints:
    You can now define location-based rules so that tasks are automatically routed not only by type but also by where they occur.

New integrations joined the digital ecosystem

Because connected systems make life easier, more and more customers are linking their existing systems directly to hotelkit. This makes daily processes not only more efficient – they all come together in one central place.

The numbers speak for themselves:

  • 940 interface activations this year – a new record!
  • 93,624,715 room status changes were recorded in hotelkit Housekeeping alone – incredible how busy housekeeping teams are out there!
  • In total, there are now 5,601 active interfaces, and 48% of our customers have already activated at least one third-party integration.

To keep growing our ecosystem and push the industry forward together with strong partners, we added a wide range of new integrations in 2025:

  • Front Office Cloud: Automatic syncing of tasks, room assignments and status updates with real-time PMS data.
  • Vocust: Guest requests land directly with the right team – fast and frictionless.
  • contastic: Cross-platform bundling of guest requests – teams are notified instantly.
  • Hoteza: All guest requests delivered straight into hotelkit – no more switching between tools.
  • Personio: HR meets operations: automatic syncing of staff data for simpler, up-to-date user management.
